Configuring Your Email Signature in Outlook
Overview
This guide will help you set up your professional email signature in Outlook Online, Outlook for Windows, and Outlook for macOS.
1. Business Unit Signature Templates
Select your business unit below to access the correct email signature template:
- Inhabit
- ResidentIQ
- ePremium
- LenderPay
- ScreeningOne
If your business unit is not listed, please notify your manager. Managers can request a new template through this request here.
2. Signature Guidelines
- Update one item at a time to maintain formatting.
- Phone Numbers: Only list your Zoom/Office phone number—no personal numbers. Request a Zoom number if needed here.
- Special Designations & Pronouns: Add after your name, e.g., John Doe, CLCS, (he/they). Pronouns should be in lowercase and in parentheses.
3. Adding Your Signature
Outlook Web Access
1. Click your business unit’s signature template link.
2. Select all content:
- Windows: Ctrl + A
- macOS: CMD + A
3. Copy the selection:
- Windows: Ctrl + C
- macOS: CMD + C
4. Go to Outlook Web Access settings → Accounts → Signature.
5. Create a new signature (e.g., name it “default”).
6. Paste the template into the signature builder:
- Windows: Ctrl + V
- macOS: CMD + V
7. Update your information as needed.
8. Save your changes and set this as your default signature for new messages and replies.
Outlook Desktop Application (macOS)
1. Click your business unit’s signature template link.
2. Select all content: CMD + A
3. Copy: CMD + C
4. Open Outlook → Preferences → Signatures.
5. Add a new signature (“+”), name it (e.g., “Default”).
6. Paste the template: CMD + V
7. Update your information.
8. Save and set as your default signature.
Outlook Desktop Application (Windows)
1. Click your business unit’s signature template link.
2. Select all content: Ctrl + A
3. Copy: Ctrl + C
4. Open Outlook → File → Options → Mail → Signatures.
5. Click “New” to create a signature (e.g., “default”).
6. Paste the template: Ctrl + V
7. Update your information.
8. Save and set as your default signature.
